Conditions of Booking - Accommodation

Individual Reservations - up to a maximum of 4 rooms reserved in one booking

  • All reservations must be guaranteed by credit/debit card, by a cheque deposit, or by an agent.
  • A deposit of £25.00 is required for each room, this will be charged to the notified card unless you prefer to forward a cheque payment.
  • In the unlikely event that you have to cancel your reservation, deposits are not refundable or transferable.
  • Cancellations made less than two days before arrival date (by 2pm 48hrs prior to arrival) will be charged a minimum of the value of the first night of the stay.
  • All accounts are payable in full prior to departure, unless otherwise agreed by the hotel in writing.
  • It is advisable to have holiday cancellation insurance to cover any costs incurred.

Group Reservations - 5 or more rooms reserved in one booking

  • All reservations remain provisional and out of hotel inventory until the notified deposit is received and cleared.
  • The required deposit must be forwarded to the hotel no later than 90 days prior to arrival. Accommodation will be allocated ONLY when the deposit has been received and cleared.
  • Prepayment of the balance due must reach the hotel 28 days prior to arrival, otherwise the hotel will only secure accommodation equal to the value of the deposit received. All other accommodation will be released.
  • All deposits are non-refundable and non-transferable.
  • Reservations not secured as detailed in clause (2) will be automatically released without notification.
  • Should the hotel receive another enquiry for the same date(s), we will request the deposit to be forwarded immediately. A seven-day option will apply to secure your reservation, otherwise the booking will be released.
  • Rooming lists must reach the hotel 28 days prior to arrival, with FINAL rooming lists 14 days prior to arrival.
  • Estimated time of arrival, preferred meal times for contracted meals and any special requests must be notified to the hotel seven days prior to arrival. Failure to comply implies acceptance of the hotel's standard procedures.
  • Porterage incurs an additional charge of £1.50 per bag in and out. This service must be pre-booked as it is not included in our standard service.
  • Where credit facilities have been granted, Lady Anne Middleton's Hotel terms of trade will apply.

Conference & Banqueting booking conditions will be notified to each individual booking, however, ALL bookings, including accommodation, are subject to our terms and conditions of trade.

Terms and Conditions of Trade

  • All accounts are payable on presentation.
  • All accounts on which a query is not raised within seven days of presentation shall be deemed approved as presented.
  • All accounts unpaid within 30 days of date of invoice will attract interest at a rate of 8% over base on the outstanding total. This is in accordance with the Late payment of Commercial Debts (Interest) Act 1998.
  • No Charge will be levied for bookings made if they are cancelled not less than 12 months before the commencement date.
  • For cancellations made more than one month before the commencement of the booking 25% will be charged of the estimated total in respect of room hire and pre-booked food and beverage charges, and 75% for cancellation made less than one month before the date of the booking.
  • If cancelled through a third party or agent no commission will be due to that party or agent.
  • We shall always use our very best endeavours to re-let any cancelled accommodation, and if we are successful wholly or in part, the cancellation charges will be correspondingly either reduced or altogether waived.
  • In the case where inclusive delegate rates or similar tariffs have been quoted, and the number significantly reduces, an additional room charge may be made to reflect the original size room allocated, unless a smaller room can be substituted.
  • Guaranteed minimum number of covers to be confirmed at the latest 14 clear working days prior to the event. These numbers then automatically become the minimum chargeable or 90% of the original number given, whichever is the larger. This figure may be increased prior to the event by up to 10% on giving three working days notice, and in any event, every endeavour will be made to meet the precise requirements under all circumstances.
  • These terms and conditions are non-negotiable, and are to be construed in accordance with English law.
